A Simple SOP for Weekly Receipt and Invoice Scanning

Most small businesses don't have a document problem: they have a consistency problem. Receipts get scanned when someone remembers, invoices pile up until the end of the month, and the accountant gets a disorganized mess. This SOP fixes that with 20 minutes of work per week.

Why a weekly cadence beats scanning on the fly

Scanning receipts the moment they happen sounds like the right answer. In practice, it rarely works. You're in the middle of something else, the receipt goes in a pocket or a bag, and the scan happens eventually, if at all. The same goes for invoices that arrive by email or mail throughout the week.

A weekly batch process is more reliable than a real-time habit for most people. You build one protected time slot, clear everything that accumulated during the week, and the system stays current without requiring constant attention. The documents still get captured fast enough for accounting purposes, and you eliminate the cognitive load of "I need to scan that later."

The SOP below is designed to run in under 20 minutes for a typical small business: one owner, a few vendors, and normal weekly receipt volume. Larger operations may need two sessions per week, but the process is the same.

What you need before you start

SETUP

One-time preparation

ItemPurpose
ScanWow on iPhoneFast capture with on-device OCR: no separate scanner needed
Cloud storage connectediCloud Drive, Google Drive, or Dropbox: wherever your accountant can access
Receipt folder structureOrganized by type and month (see below)
A physical inboxTray, folder, or rubber band: one place all paper receipts land during the week

The physical inbox is the piece most people skip. It matters. Without it, receipts scatter across desks, pockets, bags, and car seats. With it, you empty one spot once a week and you're done.

Folder structure that actually works

Before you run the SOP the first time, create this folder structure in your cloud storage. You only build it once, then every week you're just dropping files into existing folders.

STRUCTURE

Recommended folder layout

  • Documents/
    • Receipts/
      • 2026-08/
      • 2026-07/
      • ... (one folder per month)
    • Invoices/
      • Vendors/
        • Sysco/
        • Comcast/
        • ... (one folder per vendor)
      • Unpaid/
      • Paid/
    • Scan Inbox/ (landing zone for unsorted scans)

The Receipts folder sorts by month because that's how expense reports and tax preparation work. The Invoices folder sorts by vendor because you'll often need to pull a specific vendor's history when there's a billing question. The Unpaid/Paid split makes it easy to see what still needs attention without opening accounting software.

The weekly SOP: step by step

Run this every Monday morning or Friday afternoon: whichever fits your schedule. Consistency matters more than which day you pick.

STEP 1: 5 MIN

Scan all physical receipts

Grab your physical inbox. Open ScanWow. Scan every receipt in the pile: one scan per receipt, or batch multiple small receipts on one page if they're from the same trip.

Name each file as you export: YYYY-MM-DD_Vendor_Amount.pdf

Examples:

  • 2026-08-07_HomeDepot_43.18.pdf
  • 2026-08-05_BPGas_62.00.pdf
  • 2026-08-06_CostcoWholesale_218.43.pdf

Export directly to Receipts/2026-08/. Throw the physical receipts away after scanning. The PDF is your record now.

STEP 2: 5 MIN

Process invoices received this week

Check your email and physical mail for invoices that arrived during the week. For each one:

  1. If it's a paper invoice, scan it with ScanWow
  2. If it's a PDF attachment in email, download it (or forward to a cloud folder)
  3. Rename using: YYYY-MM_VendorName_INV-[number].pdf
  4. Save to Invoices/Unpaid/

Examples:

  • 2026-08_Sysco_INV-48291.pdf
  • 2026-08_Comcast_INV-2026-0812.pdf
  • 2026-08_PestControl_INV-0094.pdf
STEP 3: 5 MIN

Move paid invoices from Unpaid to Paid

Review what's in Invoices/Unpaid/. For any invoice you paid this week, move the file to Invoices/Paid/ and add the payment date to the filename:

2026-08_Sysco_INV-48291_PAID-0808.pdf

This gives you an instant audit trail. You can see at a glance what's outstanding and what was paid when. No spreadsheet required for basic AP tracking.

STEP 4: 5 MIN

Clear the Scan Inbox

Check Scan Inbox/ for anything that landed there during the week and wasn't immediately sorted. Move each file to its correct folder. Rename anything that doesn't follow the naming convention. The inbox should be empty at the end of every session.

A non-empty inbox at the end of Friday is a warning sign: either volume is higher than expected, or the sorting step is taking too long. If it's volume, move to two sessions per week. If it's sorting speed, simplify your folder structure.

The naming convention explained

The naming format does more work than it looks like. Here's why each component matters:

ComponentExampleWhy it matters
Date (YYYY-MM-DD)2026-08-07Files sort chronologically in any folder view without extra software
Vendor nameHomeDepotSearchable by filename in Spotlight, Drive search, and accounting imports
Amount (receipts)43.18Cross-check against statements without opening the file
Invoice number (invoices)INV-48291Matches vendor records for disputes and reconciliation
PAID + date (after payment)PAID-0808Instant status without opening accounting software

Build the naming as an iPhone Shortcut: Create a Shortcut that triggers when you share a PDF from ScanWow. It asks for vendor name, amount (for receipts) or invoice number (for invoices), and auto-fills the date. The Shortcut renames the file and saves to the right folder. The whole interaction takes about 10 seconds per document and eliminates manual typos in filenames.

What to do at month-end

The weekly SOP keeps you current. At month-end, add two steps:

  1. Create next month's receipt folder: Receipts/2026-09/ ready to go before the month starts
  2. Share this month's folders with your accountant: Grant view access to Receipts/2026-08/ and Invoices/Paid/ if they need records for bookkeeping or tax prep

If you use accounting software like QuickBooks, Wave, or FreshBooks, this is also when you reconcile. Pull your bank statement and match every receipt and paid invoice against your transactions. From version 3.0.5, ScanWow PDFs carry their OCR text, so you can search the files by vendor name and amount.

Handling receipts in the moment (when you can't wait for Monday)

The weekly batch process is the primary system. But there are times when you need to capture a receipt immediately: a large purchase, an expense you need to submit for reimbursement today, or a document that might get lost before Monday.

In those cases: scan immediately, save to Scan Inbox/ with a rough name (even just the vendor and date), and let Monday's session handle the proper filing. The Scan Inbox exists exactly for this. It catches urgent captures that don't fit the weekly batch without breaking the routine.

Thermal paper receipts fade fast: Gas station receipts, restaurant receipts, and retail receipts printed on thermal paper start fading within weeks and can be completely blank within a year. Scan these within a day or two of receiving them, not at the end of the week. ScanWow's OCR captures the text before fading starts, giving you a searchable record even if the original becomes unreadable.

When to add an accountant to the system

If you work with a bookkeeper or accountant, the folder-sharing approach is simpler than most people realize. Share the top-level Documents/ folder with view access in your cloud storage. Your accountant can see everything as you add it without you sending weekly batches or emails.

Set expectations upfront:

That single briefing is usually enough. Most accountants adapt quickly to a consistent folder structure with clear filenames. It's dramatically better than receiving shoeboxes of receipts at tax time.

The complete weekly checklist

WEEKLY SOP

20-minute Monday morning routine

  1. Empty physical receipt inbox: scan each receipt with ScanWow, export to Receipts/[current month]/
  2. Process new invoices (email + mail): scan or save, rename, save to Invoices/Unpaid/
  3. Move invoices paid last week: drag from Unpaid/ to Paid/, add payment date to filename
  4. Clear the Scan Inbox: sort and rename anything sitting there
  5. Verify each folder is organized: nothing unnamed, nothing in the wrong place

Total time: 15 to 20 minutes for typical small business volume. The system pays for itself the first time your accountant asks for a receipt and you find it in 10 seconds.

Frequently asked questions

How often should I scan receipts and invoices?

Weekly is the sweet spot for most small businesses. Scanning daily is overkill unless your volume is very high. Letting receipts pile up for a month creates a painful backlog. A Monday morning or Friday afternoon habit (15 to 20 minutes) keeps the system clean without making document management feel like a job.

What is the best way to organize scanned invoices?

Use a folder structure that mirrors how you pay bills: organize by vendor, with a simple Unpaid/Paid split for status tracking. Name each invoice with the date, vendor name, and invoice number so it sorts chronologically and is easy to search. The format 2026-08_Sysco_INV-48291.pdf works across cloud storage, accounting software, and email without any conversion.

Can I use a phone app to scan invoices for my accountant?

Yes, a scanner app with OCR is the right tool. ScanWow captures invoices on iPhone, extracts the text so you can search it inside the app, and exports a clean PDF directly to cloud storage your accountant can access. From version 3.0.5, that PDF carries the text too, so it is searchable. Most accountants prefer PDFs over photos because the resolution is consistent and the files are smaller.

Do I need to keep paper receipts after scanning?

For most business purposes, a high-quality scan with OCR is sufficient. The IRS generally accepts scanned receipts for business tax deductions as long as they're legible and include the vendor, date, amount, and business purpose. Discard physical receipts after scanning. Holding onto both creates confusion about which version is authoritative.

A consistent SOP makes the difference between a document system that works and one that exists in theory. Start this Monday.
